Organize trip receipt photos into a checkable expense record

Find receipts, verify their details, and build a consistent photo library that supports expense preparation and review.

Define the evidence you need

For a three-day work trip, train tickets, hotel receipts, meal slips, and payment screenshots may be scattered across Photos. The objective is a searchable route back to each image. First list the travel dates, project name, and evidence your organization requires. Keep missing invoices and documents from other sources on a separate checklist: scanning cannot supply evidence you never photographed.

Collect, then verify

  1. Sign in to PicFelio, grant access to the relevant photos, and review the scan candidates.
  2. Save selected receipt images in batches. Distinguish a receipt, its repeated photograph, and its payment screenshot before counting expenses.
  3. Open each original image to check dates, amounts, merchants, and invoice identifiers. Replace unreadable photos and correct recognition errors.
  4. Use a consistent project–date–type title and project tags. Mark unresolved items as needing verification.

Make retrieval useful

A title such as “Suzhou visit–20 October–hotel” and consistent project tags provide context. Search for a merchant or wording visible in the image, then confirm that the right photo opens. If retrieval fails, inspect the recognized text. Never invent an amount to make a record appear complete. Prepare the expense totals and accounting categories through your normal organizational process.

Check completeness against the trip

Compare evidence with travel days and the required-document list. Inspect suspected duplicates in the originals. Acceptance means three randomly selected expenses can each be traced to the correct image, their important fields match, and missing evidence remains clearly listed. Confirm the submission format separately before handing the material over.

Privacy and scope

On-device recognition, editable titles and tags, and photo-text search support this workflow. Optional cloud AI still needs review. Privacy mode pauses cloud analysis and iCloud sync. This guide does not imply automated expense submission, invoice authentication, or a dedicated accounting export.
