Make project whiteboards and screenshots findable weeks later

Start with a question you will revisit

After a review, you have a whiteboard photo, presentation screenshots, and chat captures. Weeks later, somebody asks about an interface constraint. Define the project, meeting date, and questions worth retrieving. Separate proposals, unverified assumptions, and confirmed decisions: text on a whiteboard does not establish what the team finally approved.

Add context to each saved image

1. Scan authorized photos with PicFelio and save the relevant candidates.
2. Check initials, version identifiers, interface names, and numbers against the original. Read arrows and grouping from the image.
3. Use a title containing project, date, and topic, such as “Portal redesign–21 October–interface constraints.”
4. Apply consistent topic and verification tags. Correct recognition errors without inserting your interpretation as source text.

Test two retrieval routes

Filter by project, then search a specific term visible on the board. Try the date and topic as another route to the same image. If the photograph is too distant, add a readable detail photo and make its relationship clear in the title. Record approved conclusions, their owner, and confirmation time separately in your working document.

Review as a new teammate

Choose one likely follow-up question. Confirm that the correct original opens, its context is readable, and the reader can distinguish discussion from decision. Label confusing older screenshots with their version or unresolved status. Success means a teammate can identify the source and see what still needs confirmation.

Recognition has limits

A searchable photo library does not guarantee interpretation of handwriting, diagrams, or meeting intent. Use optional cloud analysis according to project confidentiality requirements. Privacy mode pauses cloud analysis and iCloud sync. Verify unclear content with the original image or the people involved.
